2.2 Details of your visits to our websites
Each time you access a page within our website and each time a file is opened, the access data about this process are saved in a log file on our server.
Each record consists of:
· the file name;
· the date and time of the request;
· the transferred data volume;
· the access status (file transferred, file not found etc.); and - your IP address.
This data is used exclusively for the purpose of data security and optimisation of our website. The data will not be evaluated in any other way except for statistical purposes, but then only in anonymous form. No personal web browsing profiles or similar personal profiles are created or processed.
2.3 How we use your data
The information is used to enable us process your request and/or order and to carry out our obligations arising in respect of any contracts entered into between you and us. Only relevant and appropriate information is used by us and passed on to subcontractors (e.g. carriers) to provide you with the service you have requested and to communicate with you on any matter relating to the provision of the service in general.
The respective input and contact forms contain information about the purpose of the data being gathered. Such data is transmitted encrypted over the Internet. We will only use your data for promotional purposes if you have explicitly given your agreement. We do not link the information you provide to the access data referred to at paragraph 2.2 above.
We may also collect, use and aggregate information and statistics for the purposes of monitoring website usage and traffic in order to help us develop the website and our service to our customers. These statistics will never include information that can be used to identify any individual customers.
In addition we may use your information to provide you with information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes or to notify you about changes to our service.
We may disclose your information to a third party in the following circumstances:

This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction and conducting Restricted Party Screening as detailed in paragraph 4.
By submitting your information you consent to our use of this information in accordance with this Privacy Policy as amended from time to time.
3. Cookies
Cookies are small text files which can be temporarily stored on your hard drive.
These files simplify your navigation on the website and have a technical function. Cookie information is only used to further improve the website for users. This includes information about the web browser used, the time spent with our offers and which websites you have visited.
We use both so-called "session cookies" which are only saved intermediately for the duration of your use of our website and "permanent cookies" which retain information on visitors who repeatedly access our website. The purpose of cookies is to provide you with the best possible user guidance. Our website can also be used without cookies. You can disable the storage of cookies in your browser, limit it to specific websites or adjust your browser to prompt you whenever a cookie is sent. However, please note that if you limit cookies, you have to expect a limited display of the relevant page or limited user guidance.
Cookies may also be used on linked pages without us being able to alert you beforehand. During login session cookies are required because we use the single sign-on concept which facilitates authentication and access control in different areas of our portal.
This includes the setup of a "session" between the client and server allowing you to move within the whole portal without having to log in to each area separately. This session is represented by a cookie storing a randomly generated number.
The cookie also stores the login information allocated to you (user name, access rights and session validity) for access control purposes. Instead of asking you for the renewed input of your login information, the cookie is sent to the server and accepted as proof of identity.
There is no linkage to personal data and the activities of a user cannot be traced.
Upon request, you can choose to have your user name saved permanently in a third cookie. During frequent use of the portal this simplifies your login, because your user name will already be completed in the login form and you only have to enter the password. This method poses risks to the user because your login data may be misused by third parties.
4. Security Checks
To ensure that your credit, debit or charge card is not being used without your consent, we will validate name, address and other personal information supplied by you during the order process against appropriate third party databases. By accepting the Terms you consent to such checks being made. In performing these checks personal information provided by you may be disclosed to a registered Credit Reference Agency which may keep a record of that information. This is done only to confirm your identity, a credit check is not performed and your credit rating will be unaffected.
In addition, your name, address and other personal information supplied by you during the registration process will be used to conduct Restricted Party Screening against government produced lists of official denied persons or illegal trans-shippers, blocked from import or export transactions, or sanctioned by a government for illegal acts. This will be completed using an appropriate third party business online tool, including search engine and database facility.
A record of this screening and its outcome will be retained in line with our Record Keeping Policy.
5. Where we store your personal data
The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff may be engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.
All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted using SSL technology (via Thawte Inc. - http://www.thawte.com/index.html) . Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
6. Changes to the data protection statement
If we introduce new products or services, modify our methodology for using the Internet or if Internet and IT security technology develops further, the "data protection statement" may need to be updated. We therefore reserve the right to modify or amend this statement as may be required. We will publish the changes at this location [or if appropriate notify you by email.] You should therefore regularly open this website in order to inform yourself about the current status of the data protection statement.
All information contained on this website has been checked with greatest care. However, we cannot guarantee that the content of our own websites is always correct, complete or up-to-date.
7. Third party websites
We occasionally refer or link to third party websites. Although we select such third parties carefully, we cannot guarantee the accuracy or completeness of the contents and the data security of third party websites. This Privacy Policy does not apply to linked third party websites, such third party websites will have their own privacy policies and we do not accept any responsibility or liability for such policies. We advise that you review the same prior to submitting any personal data to these third party websites.
8. Services used on this website
Adobe Analytics
This website uses the web analytics service Adobe Analytics to evaluate user access to this website. For the analysis, cookies are stored on your terminal device and information is collected about it, which is also stored on servers of our contract processor Adobe Systems Software Ireland Limited, located at 4-6 Riverwalk, Citywest Business Park 0000 Dublin 24, Ireland ("Adobe").
The information stored on Adobe servers cannot be directly linked to a speicifc person because Adobe Analytics is used with the settings "Before Geo-Lookup: Preplace visitor's last IP octet with 0" and "Obfuscate IP-Removed".
The setting "Before
Geo-Lookup: Replace visitor's last IP octet with 0" ensures that the IP
address is anonymized by replacing the last octet of the IP address with zeros
before this so-called geolocation. The approximate location of the user is
added to the tracking packet that still contains the full IP address for
statistical analysis. Before the tracking packet is stored, the IP address is
then replaced with a single fixed IP address - this is called a generic IP
address - if the "Obfuscate IP -Removed" setting is configured. This
means that the IP address is no longer included in a stored record.
For users from the UK and European Union: We only use Adobe Analytics in
connection with your personal data if you have given us your express consent in
advance. Your consent is also the legal basis for the use of Adobe Analytics
pursuant to Art. 6 (1) (a) UK GDPR. You can decide yourself about the setting
of cookies as described in your Cookie-Settings on our website and, in
particular, deactivate already activated cookies from Adobe Analytics by
deselecting the cookie group "Statistics" and thus revoking your
consent. In addition, you can also disable the setting of cookies altogether in
your browser settings. Your personal data collected in connection with Adobe
will be deleted or anonymized after 24 months.
Data processing by Adobe Analytics is governed by Adobe's privacy policy. Learn
more about Adobe Analytics' privacy policy at https://www.adobe.com/de/privacy/policy.html
Google Tag Manager
We use the Google Tag Manager of Google Ireland Limited (“Google Tag Manager”)
on our website. Google Tag Manager is used to manage our website tags via an
interface. The Google Tag Manager is a domain to which the IP address is
transmitted for technical reasons. The Google Tag Manager then triggers other
tags, which in turn may collect data.
The legal basis for users of the
UK and EU for the transmission of the IP address is our legitimate interest in
managing our website services and triggering other tags in accordance with Art.
6 para. (1) (f) UK GDPR. Further information on data processing can be found
at: https://support.google.com/tagmanager/answer/7157428.
HubSpot
For our online marketing activities, we use HubSpot, an integrated software solution from HubSpot, Inc, 25 First Street, Cambridge, MA 02141 USA or HubSpot European Office, Ground Floor, Two Dockland Central, Guild Street, Dublin 1, Ireland ("HupSpot") that allows us to cover a wide range of aspects, including:
- e-mail marketing (newsletter, banner and automated e-mails, e.g. to provide downloads)
- social media publishing and reporting
- reporting (e.g., sources of traffic, access, etc.)
- contact management (e.g., user segmentation and customer relationship management)
- landing pages, blogs, and contact forms
For users from the UK and European Union, the legal basis for the aforementioned online marketing activities - unless otherwise indicated - is the implementation of pre-contractual measures in accordance with Art. 6 (1) (b) and our legitimate interest in the efficient provision of information in accordance with Art. 6 (1) (f) UK GDPR.
In addition, we use the meetings function of HubSpot to effectively and easily arrange appointments with you. For this purpose, free times of our participating employees are shown to you. You can select your preferred appointment time and arrange it with a staff member via "Confirm meeting". For this purpose, we process your first and last name as well as your business e-mail address. As soon as you press the "Continue" button in "Confirm meeting", you will receive a corresponding confirmation e-mail from us. For users from the UK and European Union, the legal basis is the implementation of pre-contractual measures according to Art. 6 (1) (b) as well as our legitimate interest according to Art. 6 (1) (f) UK GDPR in efficient scheduling.
In addition, we use HubSpot's tracking tool for our online marketing activities on our website with your consent. HubSpot uses cookies to enable an analysis of your use of the website by us. HubSpot evaluates the collected information (e.g. IP address, timestamp, geographical location, type of browser, duration of visit and pages viewed) on our behalf so that we can generate reports about the visit and the pages visited. Information collected by HubSpot and the content of our website is stored on servers of HubSpot's service providers.
The legal basis for the processing is your consent, for users from the UK and European Union in accordance with Art. 6 para. (1) (a) UK GDPR, which you can withdraw at any time with effect for the future by deselecting the “Marketing” cookie group. The cookies and the personal data collected in this context will be deleted or anonymized after 13 months at the latest.
If you give us your advertising consent, the data will be exchanged between HubSpot, Inc. and Microsoft Dynamics 365 (CRM system) of Microsoft Ireland Operations Limited in order to be able to compare and complete the database of both systems.
We have concluded so-called EU standard contractual clauses with HubSpot to ensure an appropriate level of data protection when transferring personal data from the EU. In addition, HubSpot is certified according to the EU-US Data Privacy Framework, so that an adequate level of data protection within the meaning of Art. 45 UK GDPR is ensured (adequacy decision).
Further information on data protection can be found in the HubSpot Data Protection Policy at https://legal.hubspot.com/de/privacy-policy, in the Cookie Policy at https://legal.hubspot.com/de/cookie-policy and on the HubSpot knowledge pages at https://knowledge.hubspot.com/de/reports/what-cookies-does-hubspot-set-in-a-visitor-s-browser#cookies-from-third-party-systems.
